Shepparton Showgrounds Bookings
Thank you for your interest in hiring the Shepparton Showgrounds.
The first step in making a booking is to complete an Expression of Interest three months prior to the event date. This information will allow us to confirm that your preferred dates and locations are available.
We will review your Expression of Interest and be in touch in regards to additional documents that you will need to submit.
Please refer to the process and information below to help guide you through your booking submission.
Step One: Expression of Interest

Step Two: Expression of Interest Accepted / Denied
You will be notified via email of the outcome of your submission of interest, along with the way forward.
Step Three: All booking forms and plans submitted
You are required to submit the following booking forms once your EOI has been accepted.
Fully completed forms must be scanned and emailed or delivered to reception no later than 8 weeks prior to the event date. Photos of forms will not be accepted.
Download, complete, and email along with all permits and requested plans to events@shepparton.vic.gov.au
- Insurance - Certificate of Currency (minimum $20 million)
Note: If you do not have a certificate of currency you may be able to use Council Insurance with an applicable fee – McIntosh Centre hire only. Please complete the ‘Public Liability Register for Council Facilities’ Application below.

All events where alcohol is provided, either for sale and/or consumption requires a permit. Consumption of Liquor Permit applications are required a minimum of 8 weeks prior to the event. Applications MUST be submitted in full with all information requested, or the application will not be processed. Failure to comply may result in the inability to provide alcohol at your event.

If alcohol is being sold at your event. - Victorian Building Authority - Occupancy Permit for Places of Public Entertainment (POPE)
Your event may also need a POPE issued by Councils Building Surveyor. More information regarding POPE application and requirements can be discussed with the Events Facilities Coordinator or the Municipal Building Surveyor on (03) 5832 9700.
Venue floor plans
Please download the appropriate floor plan(s) below and indicate by drawing on the plan how you intend to set up the venue you are hiring, i.e:
- Where tables and chairs will be placed;
- Where the DJ or band will be;
- Entrances and exits to the building (i.e. doors you will be using);
- Entrances and exits to the grounds (i.e. gates you will be using);
- Car parking areas; and/or
- Pedestrian access areas (for the safety of pedestrians, an access route from the car park to the venue needs to be planned).

Step Four: Event details finalised and confirmed to go ahead
All submitted booking forms will be reviewed by the events team. If any adjustments are required, you will be notified via email with details.
You will be sent a quote/event confirmation for review and signing.
Once we have received the signed quote confirmation, your event can go ahead.
Step Five: Security deposit due
Payment of a non-refundable security deposit is due prior to the event proceeding. An invoice will be sent to the email address provided.
Step Six: Event proceeds
A mutually agreeable time and date for venue handover will be arranged. You will be sent an invitation to the email address provided. If the time does not suit, you have the option of suggesting another.
Step Seven: Balance of hire fees due
A post event venue inspection will be undertaken by Council Officers.
An invoice for the balance of fees due will be sent via email.
Please note: any damage to the venue will incur additional costs.
